We have an exciting opportunity for an enthusiastic individual to join our team. Apart from being the first point of contact for the business, you will also be responsible for providing general administrative support to ensure the smooth and efficient operation of our office. This position requires someone with a natural aptitude and genuine interest in systems, with the ability to operate multiple platforms after training.
In this role, your work will be varied and engaging. You’ll assist with general Facilities Services administration and carry out various duties to support our operations. This position requires a proactive approach and a commitment to delivering high-quality service in a dynamic environment
About the role
In this role, you will:
- Welcome all visitors and be their point of contact.
- User administration and access management across multiple systems as well as entity and account set-ups
- Assist with travel arrangements of visitors coming to Mauritius, e.g. log visits in calendars for accommodation & book taxis
- Handling phone calls, emails, and other forms of correspondence in accordance with our policies.
- Monitoring and responding to system-related email queries in a timely, accurate and professional manner
- Manage meeting room bookings, tidiness & setup, and supplies.
- Deal effectively with all local hand deliveries to and from the office.
- Monitor inventory and order supplies as needed.
- Assist with the delivery and distribution of kitchen inventory.
- Assist with the set up for internal functions and external events such as Away Days and external staff training.
- Provide general support to other team members or departments.
- Other ad hoc tasks as the business requires
About you – essential requirements
- Working knowledge of Microsoft office suite
- Willing and motivated to learn new systems
- Inquisitive mindset and interest in process improvement
- Common sense approach and practical problem-solving ability
- Great communication and interpersonal skills
- Ability to build relationships and work as part of a team
- A positive and flexible approach
- Ability to manage and prioritise tasks and time management in order to meet deadlines
- Ability to work independently, when required
