We are currently seeking a highly capable Senior Corporate Administrator – Activity Licences who can support our diverse practice areas and be an integral part of our multidisciplinary team working on local and international clients and complex regulatory matters.
Objective
Assisting Team Leader, Assistant Manager, and the Manager to administer a portfolio of Companies holding Investment Dealer (Full-Service Dealer, excluding Underwriting) Licences, Global Business Licences, PSPs amongst others.
Key responsibilities
Administration
- To administer a portfolio of client entities on a day-to-day basis with direct contact with clients and reporting back to the reporting line.
- Provision of administration services to a broad portfolio of international clients.
- Carry out all secretarial and administrative works within client portfolio.
- To execute all assignments in a timely and efficient manner and ensure that a high standard of service is provided to clients.
- To ensure that the group’s professional standards are adhered to.
- Promote positive attitude and develop team spirit.
- Review, re-design and implement together with reporting line a proper planning and monitoring process to ensure that all regulatory deadlines are met.
- Ensure a high level of client service is maintained.
- Attend to client queries daily and ensure that all emails are replied within 24 hours.
- Prepare resolutions, minutes of board and committee meetings.
- Prepare agenda, board pack and action notes for board and committee meetings.
- Prepare bank account opening documents for additional bank accounts (Both local and foreign bank accounts) required after incorporation.
- To keep records and prepare transaction monitoring of all bank accounts within the portfolio on a monthly basis.
- Liaise with AML/CFT Independent Auditor and Financial Auditor to carry out yearly audits of entities.
- Attending audits and inspections for authorities.
- Provide support and coaching of junior staffs.
- Any other ad-hoc administration functions as may be assigned by reporting line.
Financial
- Arrange banking transfer instructions when advised to do so always bearing in mind the relevant Anti-Money Laundering criteria and procedures.
- Refer to the in-house banking transactions manual.
- Assist the accounting team on queries for preparation of Financial Statements.
- Upload statutory documents for Auditors to carry out the financial audit.
- Liaise with clients to ensure that the financial audits are going smoothly, and the Audited Financial Statements are filed within the deadline.
Review and Compliance
- File reviews done monthly to ensure compliance with relevant laws.
- Liaise with the compliance team regularly to ensure proper records of all the policies and procedures of the companies in the portfolio.
System
- Update the company’s CRM system timeously with any statutory changes to client records, maintain accurate and up to date time keeping records and ensure any marketing campaigns are effectively implemented within the client base.
- To update Eazzy.
- Scan and index all client and entity related documents as required.
Qualifications
- Degree holder in Management or related field.
- 3 – 5 years of experience in a Management Company/Offshore sector
