Purpose of the Role

The Corporate Administrator will play a key role within the Corporate Services team at Dolphin Management Services Ltd, supporting the administration and lifecycle management of a diverse portfolio of global business companies and fund structures. The role requires proactive collaboration, a strong understanding of corporate governance, and a commitment to delivering high-quality service to our international clientele.

Key Responsibilities

Client Service

  • Develop an understanding of client structures, mandates, and service expectations.
  • Maintain regular communication with clients, relationship managers, and internal teams to ensure consistent and seamless service delivery.
  • Take ownership of assigned tasks and deadlines, ensuring a high standard of work and responsiveness.
  • Assist the Corporate Manager in resolving client-related issues and queries in a timely and effective manner.

Business-as-Usual Operations

  • Assist in the day-to-day administration of companies, trusts, and fund structures, including maintenance of statutory records and registers.
  • Coordinate and support client onboarding processes, including collection and preparation of KYC/CDD documentation.
  • Review or prepare CDD packs for standard and high-risk structures, ensuring compliance with internal policies and FSC guidelines.
  • Support investor onboarding, transaction processing, and lifecycle event documentation such as capital calls and distributions.
  • Prepare or review fund sub-closes on relevant systems, maintain accurate records, and ensure documentation is complete.
  • Perform or review bank account reconciliations and cash flow summaries as required.
  • Respond to and manage investor and fund manager communications in a professional and timely manner.
  • Ensure all activities are executed within stated Service Level Agreements (SLAs) and in compliance with internal quality standards.
  • Collaborate with internal teams (e.g., Fund Services, Compliance, Finance) for reviews, sign-offs, and cross-functional projects.
  • Support the implementation of internal or client-driven projects within the Corporate Services department.
  • Contribute to a culture of teamwork, accountability, and service excellence.

Ad-hoc & Project-Based Tasks

  • Participate in periodic reviews and audits of client files.
  • Assist with regulatory filings and corporate secretarial duties, including preparation of resolutions, minutes, and board packs.
  • Support business process improvements and documentation of standard operating procedures.
  • Undertake other tasks or responsibilities as assigned by Management.

Qualifications & Experience

Degree in Law, Management, Accounting, or related field preferred.

  • Minimum 1–3 years of experience in corporate administration or global business services.
  • Familiarity with the regulatory framework in Mauritius, including FSC requirements and AML/CFT obligations.
  • Experience in working with fund structures or private equity clients is an advantage.

Skills & Competencies

  • Strong organisational and time management skills, with the ability to manage multiple deadlines.
  • Excellent written and spoken English; proficiency in French is an advantage.
  • High level of accuracy and attention to detail.
  • Sound knowledge of corporate documentation and governance requirements.
  • Team-oriented, with a proactive and client-centric mindset.
  • Proficient in Microsoft Office Suite and corporate administration software.
